SESSION 1

Document preservation policies and guidelines for the Mexican Electoral Court for - Juan Voutssás Márquez, Director, TEAM Mexico
Abstract: This presentation provides an overview of the activities and findings of a TEAM Mexico case study about the development of preservation policies and guidelines for the management and preservation of digital records inside the Federal Court for Elections in Mexico.

InterPARES Mexican TEAM Diploma in Digital Archives Preservation - Juan Voutssás Márquez, Director, TEAM Mexico
Abstract: This presentation provides an overview of the diploma course developed by TEAM Mexico about digital records management and preservation (154 hrs.), which is currently held in CUIB, the University of Mexico's Library Sciences Research Center.

Abstract: This presentation highlights the activities and findings of the InterPARES 3 Project aimed at developing guidelines for the long-term preservation of e-protocol registers: a general study, involving researchers from TEAMs Catalonia, Italy and Brazil.

A new business model through certified e-document authority - Eun G. Park, TEAM Korea
Abstract: This presentation highlights the activities and findings of a TEAM Korea case study involving the investigation of the characteristics of trusted third party digital repositories in the Korean context and the identification of the new strategies for initiating new business models in electronic transaction and exchange.

UNICAMP staff paychecks: the preservation of a record created and maintained in an interactive electronic system - Claudia Lacombe Rocha, Director, TEAM Brazil
Abstract: UNICAMP is a public university of the state of São Paulo. Since 2001, all wage-related events regarding staff, collaborators and all university personnel are processed and registered exclusively in database format in an interactive electronic system. There were precedent systems that operated differently and created records in microfiche form which are maintained in the archives and are easily accessible until today, but presently all recordings resulting from the processing of payroll are stored in database format. The payroll and pay checks serve as proof of wage payments and must remain reliable, authentic and accessible through time. The case study examined these digital entities, according to InterPARES methodology and findings, in order to verify if they can be considered as records and to set up basic management and preservation procedures.

SESSION 1

The terminology of the InterPARES 3 Project in the Catalan archival context - Eloi Jornet, Terminological Working Group, TEAM Catalonia
Abstract: In this session, the terminological working group of TEAM Catalonia provides a brief introduction of this working group (creation, operating, ...), the challenges and issues detected during the translation of InterPARES Terminology (general study) to Catalan, and the solutions developed to resolve the translation of some terms called by TEAM Catalonia as "conflict terms". The results and products from this general study are also discussed.

Identifying vital e-records in Catalan public universities: the cases of UPF and UdG - Eva Roca and Miquel Serra, TEAM Catalonia
Abstract: In this session, the researchers present the results developed during the research of Tecase study 01 (CS01): "The preservation of vital e-records in UPF." In particular, they discuss the elements developed to identify the vital e-records in the university, including methodology, work flow, diagrams and the procedure used to identify vital e-records. Finally, they describe the toolkit used to identify vital e-records and the metadata elements used to describe the vital e-records.

The authenticity of Data Centric Systems of Local Council of Girona - Lluís-Esteve Casellas, Sònia Oliveras and Maria Reixach, TEAM Catalonia
Abstract: The main objective of this project is to identify the rules that maintain the integrity, reliability and authenticity of datacentric systems in a record's active phase. To maintain and demonstrate the authenticity of a datacentric system is more difficult than that of a docucentric system, because there is a critical period of time between the ingest and the fixation of data. Hence, it is necessary to define how to maintain the safety of data. The purpose of our case study is to identify solutions to ensure datacentric systems safety. That means to secure databases that contain electronic records during the period between their creation to their fixation in a docucentric system or in preservation copies. At the end of this case, study we aim to obtain a model or different reference models, implementation strategies on specific cases and frameworks of a particular area as well as an evaluation and dissemination of our findings. In a local public administration there are many databases created by different departments that produce electronic records. This is the reason why we could apply our test-bed outcomes in several specific cases.

Abstract: In this session, the researcher discusses all the findings developed during the research of TEAM Catalonia's Protocol Registry case study. This presentation is linked with the morning Session 2 presentation, "Guidelines for long term preservation of protocol register," byTEAM Italy.

Symposium Speaker Biographies

Gabriele Bezzi graduated with a degree in Modern History from the University of Bologna in 1980 and in Archives, Paleography and Diplomatics in 1982 from the State Archives of Bologna. Since 2009, he has served as Archivist for the Polo Emilia Romagna Regional Archives (PARER). Previously, he was Head of Stock and general protocol at the Province of Bologna from 2000 to 2009. Since the mid-80s, he has been involved with developing computer systems for archival description used during various operations of reorganization and inventory of the archives of various institutions. More recently, he has been exploring issues related to the management and storage of electronic documents. He was involved in the launch of the journal Achivi & Computer, and currently is involved in the InterPARES 3 Project as a professional/community researcher for TEAM Italy.

Luciana Duranti is Chair of the Archival Studies Master's and Doctoral programs of the School of Library, Archival and Information Studies of the University of British Columbia, and Professor of archival theory, diplomatics, and the management of digital records. She is Project-Director of InterPARES, for which she received the Killam Research Prize (2005), the Jacob Biely Research Prize, the UBC's "premier research award" (2006), the Emmett Leahy Award (2006) and the British Columbia Innovation Council Award, which is annually presented to "an individual who has opened new frontiers to scientific research" (2006). She also directs the Digital Records Forensics, and the Digital Recordkeeping Curriculum Resources projects and is a co-investigator for the Universities Institutional Repositories: Copyright and Long-term Preservation Project. She publishes widely on archival education, history and theory, and on diplomatics. More information is available on her web site at www.lucianaduranti.ca.

Lluís Esteve-Casellas is Head of the Department of Archives and Records Management (GDA), of Girona Local Council, and Data Manager of Data Privacy. He also participates in national and international working groups and gives training courses.

Eloi Jornet is records manager and archivist technician at Universitat Pompeu Fabra and is collaborating in the Associació d'Arxviers - Gestors de Documents de Catalunya as webmaster.

Juan Voutssás Márquez received his Bachelor's degree (1980) in Mechanical and Electrical Engineering from the National Autonomous University of Mexico (UNAM), a Master's in Library Science from UNAM (1993), and a PhD in Library and Information Studies from UNAM (2005). He has more than 30 years experience working in an ICT capacity for several libraries and information centers inside UNAM and as a teacher of ICT subjects at the Library Sciences School. Since 1993, he has been a researcher for the Centro Universitario de Investigaciones Bi-bliotecológicas (CUIB), the University of Mexico's Library Sciences Research Center. He has, for many years, worked in areas related to digital libraries, digital publications, ITC in libraries, etc. More recently, he has been exploring issues related to the management and preservation of digital document archives. Currently, Dr. Voutssás is the Director of TEAM Mexico for the InterPARES 3 Project.

Sònia Oliveras is a Computer Science Engineer for the Department of Archives and Records Management (GDA), of Girona Local Council. She also participates in national and international working groups and gives training courses.

Eun G. Park is an Associate Professor in the School of Information Studies at McGill University. She holds a PhD from the University of California, Los Angeles. Her research interests include metadata, digital archives, digital preservation, electronic records management systems, digital resources management, and social aspects of information technology. She was a co-investigator with the InterPARES 2 Project and currently is an academic researcher for TEAM Korea in the InterPARES 3 Project.

Maria Reixach is Records Manager for the Department of Archives and Records Management (GDA), of Girona Local Council. She also participates in national and international working groups and gives training courses.

Eva Roca is Head of University Archives, Universitat Pompeu Fabra. She has a Master's degree in Records Management and Archival Studies from Universitat Autònoma de Barcelona and Associació d'Arxivers de Catalunya. She is working with different teams of records managers and archivists in Catalan (Grup de Gestió Documental, Workflow and iArxiu-Associació Catalana d'Universitats Públiques, 2011) and Spanish (Grup de Gestió Documents Electrònics- Confereneica de Archiveros Universitarios, 2011) universities.

Claudia Lacombe Rocha has worked as an archivist at the National Archives in Brazil since 1989, where, for the last seven years, she has been in charge of the Electronic Records Management and Preservation Task Force. She is also President of the Electronic Records Committee at the National Council on Archives of Brazil and is Director of the InterPARES 3 Project's TEAM Brazil. She received a bachelor degree in History from Pontifícia Universidade Católica do Rio de Janeiro (1987), and an MA in Informatics from Universidade Federal do Rio de Janeiro (2003).

Miquel Serra received his Bachelor's degree in History from the Universitat de Girona (1999) and his Master's degree in Records Management and Archival Studies from Universitat Autònoma de Barcelona and Associació d'Arxivers de Catalunya (2002). Since 2002, he has been working in public archives as an Assistant Technician in Arxiu Històric Comarcal de Santa Coloma de Farners, Arxiu Nacional de Catalunya and Arxiu Municipal de Vidreres and as Records Manager and Archivist of Universitat de Girona Archives. He is working with different teams of records managers and archivists in Catalan (Grup de Gestió Documental, Workflow and iArxiu-Associació Catalana d'Universitats Públiques, 2011) and Spanish (Grup de Gestió Documents Electrònics- Confereneica de Archiveros Universitarios, 2011) universities and in the Catalonia government (Grup d'Avaluació i Tria Documental d'Universitats- Generalitat de Catalunya, 2005, and Grup Innovació Tecnològica-Generaltiat de Catalunya, 2009). He is on the Board of the Assoicació d'Arxivers de Catalunya (2005). Since 2007, he has served as Director of TEAM Catalonia in the InterPARES 3 Project.

Joan Soler is the Director of Arxiu Històric de Terrassa and paleographer and diplomatist for Scuola Vaticana di Paleografia, Diplomatica ed Archivistica. He is professor of Diplomatics in Escola Superior d'Arxivística and Gestió de Documents l'ESAGED in UAB (Autonomous University of Barcelona) and UB (University of Barcelona). He also gives training courses in Associació d'Arxviers - Gestors de Documents de Catalunya.
